How a WhatsApp lead agent works for a Dubai brokerage

Step by step: how a bilingual WhatsApp agent answers portal leads, qualifies them, books viewings and hands over to your agents.

01Why reply speed decides who gets the viewing

A buyer browsing a portal at 11pm rarely enquires about one listing. They message three or four brokers and talk to whoever replies first with something useful. If your team is asleep, the conversation has moved on by morning.

A WhatsApp lead agent fixes the first few minutes of every enquiry. It does not replace your agents: it makes sure every lead is answered, understood and booked before a human picks it up.

02The flow, step by step

  1. A lead arrives from Property Finder, Bayut, your website or a direct WhatsApp message.
  2. The agent replies within seconds, in the language the lead wrote in.
  3. It asks the questions your best agent would: buy or rent, budget, area, bedrooms, timeline, cash or mortgage.
  4. It sends two or three matching listings from your inventory, with photos and a link.
  5. It offers viewing slots from the assigned agent's real calendar and books one.
  6. It creates or updates the deal in your CRM and alerts the agent on WhatsApp with a short summary.

03Arabic and English in the same conversation

Many conversations switch languages halfway through, and some leads write Arabic in Latin letters. The agent detects the language of each message and replies in kind, so nobody is forced into a language they did not choose.

Your approved WhatsApp template messages (the ones you can send outside the 24-hour reply window) need versions in both languages too. We draft and submit them during setup.

04What you need from WhatsApp

  • The WhatsApp Business Platform (API), through Meta directly or an approved provider. The regular WhatsApp Business app cannot be automated reliably.
  • A verified business and a dedicated phone number.
  • Opt-in from the lead before you message them first, and approved templates for follow-ups after 24 hours of silence.

05What lands in your CRM

Every conversation ends with a structured record your team can act on, instead of a chat log they have to read.

06Where humans stay in the loop

The agent hands over the moment a human is better: price negotiation, an unhappy lead, a question it cannot answer from your listings, or simply when the lead asks for a person. The agent sees the full conversation, so the lead never repeats themselves.

07Getting started

Most brokerages start with lead reply and qualification, then add viewing booking and listing matching once the team trusts it. A short audit maps your current lead flow and tells you which step will pay back first.
